The Ministry of Science and Education of the Republic of Azerbaijan sought innovative solutions to enhance the school admission system (https://mektebeqebul.edu.az/). The primary goal was to not only optimize administrative processes but also create a comprehensive and secure structure that ensures the integrity of student registration across all levels of education. Another key requirement was ensuring complete transparency of both the process and the results for the public.

One of the biggest challenges was the absence of previously successful solutions of similar scale. Existing processes were complex, highly manual, time-consuming, isolated, and lacked transparency. Addressing these challenges required both the Ministry and Professional IT to assess public readiness, communicate program objectives to other governmental bodies, and prepare the infrastructure to handle hundreds of thousands of users.

Solution

Throughout the project, we carefully implemented new developments and adhered to state-of-the-art programming and security standards.
Protecting stored and transmitted data was a top priority for Professional IT.
The advanced system ensures extensive data storage, prevents accidental deletion or unauthorized modification, and provides a reliable backup mechanism.

To ensure scalability and fully digitize the admission cycle, we integrated the system with services provided by the Ministry of Justice and IAMAS. Additionally, to complete the digital ecosystem, we implemented an SMS notification system.

Outcome

Following the implementation of the new solution, the Ministry significantly expanded its capabilities and improved the efficiency of monitoring and managing the admission process across all schools.

Notably, this transformative initiative not only strengthened public trust but also enhanced transparency and reinforced the connection between the Ministry and the community it serves.
